WiseCost Privacy Policy

1. Overview

WiseCost, Inc. (“WiseCost”, “we”, “us”) operates the WiseCost platform at app.usewisecost.com. This policy describes what data we collect, how we use it, and your rights.

2. Data We Collect

  • Account data: name, email address, company name, role.
  • Usage data: login timestamps, feature usage, session activity.
  • Financial and payroll data: employee names, hours worked, pay rates, project codes, and journal entry data — entered by you or imported from QuickBooks Online.
  • Payment data: processed by Stripe. WiseCost does not store credit card numbers.
  • Communications: emails sent via SendGrid for account notifications and transactional messages.

3. How We Use Your Data

  • To provide and operate the Service.
  • To generate timesheets, labor distribution reports, and journal entries.
  • To send transactional emails (account setup, approvals, notifications).
  • To improve the Service and diagnose technical issues.
  • We do not sell your data. We do not use your data for advertising.

4. Third-Party Services

WiseCost uses the following subprocessors:

  • Supabase — Database hosting (us-east-1)
  • Vercel — Application hosting
  • SendGrid — Transactional email
  • Stripe — Payment processing
  • Intuit (QBO) — Accounting integration
  • Upstash — Background job processing

5. Data Retention

We retain your data for as long as your account is active. Upon cancellation, data is retained for 90 days and then deleted, except where retention is required by law.

6. Security

Data is encrypted in transit (TLS) and at rest. QBO OAuth tokens are encrypted with AES-256-GCM. We follow industry-standard practices for access control and infrastructure security.

7. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting contact@usewisecost.com. Deletion requests are processed within 30 days.

8. Children's Privacy

The Service is not directed to individuals under 18. We do not knowingly collect data from minors.

9. Changes to This Policy

We may update this policy at any time. We will notify users of material changes via email.
