# Timesheet notifications and reminders

> Set timesheet reminders in WiseCost: due soon, overdue, escalation to the approver and an admin summary, each by in-app or email, timed in business days.

WiseCost can notify your team about timesheets: a heads-up before one is due, reminders when it is overdue, an escalation to the approver, a summary for admins, and notices when a timesheet is rejected or reopened. Set them in **Company Setup → Company settings → Notifications**. Each notification has its own **In-app** and **Email** switches, and the scheduled ones have a timing in business days after the period closes.

**Who can do this:** an Administrator.

## The six notifications

| Notification | Who gets it | When |
|---|---|---|
| **Timesheet due soon** | The employee | Scheduled, timed from when the period closes |
| **Overdue timesheet reminder** | The employee, while the timesheet is still unsubmitted | Scheduled |
| **Escalate to the approver** | The employee's approver. Employees with no approver escalate to the company admins | Scheduled |
| **Summary for admins** | Every administrator, one message per payroll period listing everyone still missing. Sent only when something is outstanding | Scheduled |
| **Timesheet rejected** | The employee | Immediately |
| **Timesheet reopened** | The employee | Immediately |

## Set them up

1. Go to **Company Setup → Company settings → Notifications**.
2. For each notification, turn on **In-app**, **Email** or both. They are independent.
3. For the four scheduled ones, enter the number of **business days after the period closes**.
4. Optional: tick **Add a second reminder** and set its timing.

Everything is calculated in your company's time zone, which you set in **Company Setup → Company settings → General**.

## A reasonable sequence

Reminders work best as a ladder: the employee first, then their approver, then the admins. For example, the overdue reminder 2 business days after the close, the escalation at 4 and the admin summary at 5. Match it to the deadline in your written timekeeping policy.

## If emails do not arrive

Timesheet emails come from the same sender as every other WiseCost email. If your team does not receive them, a company email filter is the usual cause. See [Not receiving emails from WiseCost](https://www.usewisecost.com/help/troubleshooting/not-receiving-emails-from-wisecost).

## Common questions

### Can I send reminders only inside the app, with no email?

Yes. **In-app** and **Email** are separate switches on every notification.

### How is the timing of a reminder counted?

In business days after the payroll period closes, calculated in your company's time zone.

### Who is notified if an employee has no approver?

The escalation goes to the company admins instead.
